Question: discuss how companies can use information systems and the data within them to address that aspect. Conduct some research and provide specific examples including what companies have focused on in these areas and examples of types of information systems used to gather, analyze and distribute data.
Response:
Communication is one of the most important things that can influence the success of a work dynamic. A great example of a personal information manager software system that greatly impacted communication in the United States Air Force is Microsoft Outlook. The use of electronic mail had many advantages for the Air Force. The Air Force has their own network, but with Microsoft office users can send E-mails to individuals outside of the network.
When I was a storeroom manager, I would have to E-mail vendors back and forth constantly and I could save the E-mails so that I could refer to them later in case I did not remember. Before E-mail, all inventories had to be stored in a large filing cabinet, now they go in a folder to headquarters in an E-mail. There are several advantages to having a reliable work E-mail. For example, I had several titles, and I could organize which E-mails correlated to which job. My productivity was great due to Microsoft Outlook. E-mail is also a great tool for documentation of conversations. Sometimes we can forget what exactly we said and recall the conversation differently than it really happened. With E-mail, there can be no interpretation or “game of telephone.” Recently, the Air Force improved their E-mail options by switching 555,000 users to cloud E-mail. The Air Force made a huge improvement and is still trying to stay current with the technology they use. (Mitchell, 2019)
To change anything within a facility, a lot of coordination and memorandums must be made. Those memorandums must be routed up the chain of command every time anything happens. If someone wants to go on leave, they must submit a document for it that is signed by at least one other person and the commander. Adding E-mail to the daily functions of the Air Force significantly decreased the amount of time it takes to route documents and get signatures. Sometimes we only had about one day to make these things happen, and E-mail made it possible.
